I talked with a guy last week at Hedo that had booked and pre-paid his lodging at Hedo via his travel agent. When he checked into the resort, however, they tried to bill him for his lodging and claimed they had no record of his transaction. Fortunately, he'd brought copies of the documents with him and was able to provide those to the resort.

When I checked out on 26 Dec 08 after a week at Hedo, they told me they had no record that I'd paid for my lodging and seemed to be headed in the direction of not putting me on a bus to MoBay. I'd booked and pre-paid via a very well established TA here in the USA, and had provided Hedo with a copy of the paid travel voucher upon check-in on 18 Dec 08. Fortunately, I had a spare copy of the paid voucher in my travel documentation package that I was able to provide them and resolve their issue.

The bottom line is that it appears prudent to make sure your documentation is in order and to retain a copy of your lodging receipt in case there are any problems or questions during your visit. Just a suggestion for whatever it's worth....................

Shame we should have to do it. But great idea and nice of you to share your experience. I guess everyone should make & bring a few extra copies showing they are paid-in-full! D&D cool

Every travel agent I've worked with has sent me a "hotel voucher" to turn in at the front desk during check-in. I didn't know there was any other way to do it.....Jake

My TA gave me the option of have a paper voucher or sending H2 an electronic voucher.

I opted for the paper version and will now insist on it.

To add to my concern, the person that Lyle is referring to did his booking directly with SC. You would think that H2 would this kind of info directly under their hands. I can only assume that the staff cutbacks is affecting the quality and accuracy of the guest admin systems.

THAT's when the spare copy of the paid voucher is most helpful to resolve the issue during checkout as you're trying to board the bus.

Great idea to keep multiple copies of all travel receipts - and passports! It is a shame that SC sometimes isn't up to normal 1980s-era hotel standards for basic record keeping like this. Fortunately, things have gotten progressively better over the past few years so those bonehead incidents are more rare these days. Good to keep those extra copies on hand. :p

we ALWAYS travel with a copy of our passports ... put it under the mattress in case contents go missing from the safe ... better safe than sorry!

This is crazy!!! Since when would the front desk allow anyone to check in who hadn't already paid? I've never known anyone able to check in who wasn't already paid in full. Does asking for proof of payment upon checkout do anything except make them appear anything less than incompetant?? geesh.....

It appears to me there's a problem with the Front Desk records and coordination with Reservations. I provided a hotel voucher issued by my TA that indicated my visit was paid in full. The other guy I talked with presented them with similar documentation.

Upon checkout, when the Front Desk was trying to make sure there was no balance due on my room, they couldn't confirm payment for my visit and that's what started the discussion. Fortunately, I had copies of everything to be able to provide to them and resolve the issue.

The whole moral of the story is that it's good to have extra copies of your documents. That's ESPECIALLY true of your passport. A photocopy of your passport won't solve all your problems if your passport is lost or stolen, but it will help a LOT in getting things resolved.

Common sense indicates it's best to keep the copies stored someplace separate from the originals, and tucking a copy away in each piece of luggage is also a great idea. That can help a lot with various situations that could potentially arise.
